ADMINISTRATIVE ASSISTANT (OAC CADAC)

The Ontario Arts Council is a publicly funded arm’s-length agency of Ontario’s Ministry of Tourism, Culture and Sport.  OAC’s primary purpose is to award grants to professional artists and arts organizations.

Full-time (36.25 hrs/week) - $20 - 25/hr

Term position until December 18, 2014 with the month of August off unpaid

 (Toronto)

The Ontario Arts Council (OAC) requires a financially savvy individual to liaise with arts organizations receiving operating funding from OAC to ensure that they have entered complete and accurate financial and statistical data into the CADAC (Canadian Arts Data/Données sur les arts au Canada) system, in order to meet OAC’s granting program application and reporting requirements. CADAC is a web-based financial and statistical database used by multiple public arts funders.

In addition, the individual will provide other administrative support across the OAC as required.

Primary Responsibilities Are:

  • Act as principal OAC contact with operating organizations on the review and validation of data entered into the CADAC, and confirmation of accuracy and completeness of OAC grants reported on financial statements;
  • Provide training and guidance on OAC CADAC requirements through webinars, instructional podcasts, etc.;
  • Track data entered into CADAC in order to follow up with organizations on meeting OAC requirements for funding;
  • Communicate to operating grant applicants in English and French on OAC requirements through reminders, follow up regarding missing and inaccurate data, and responding to inquiries
  • Record all correspondence/discussion items;
  • Download, verify and format financial and statistical reports from CADAC;
  • Liaise with granting and research staff about issues related to accuracy of data and implement appropriate strategy to ensure data accuracy;
  • Participate as a member on relevant OAC & CADAC committees;Work with OAC Grants Database Administrator to address any issues between CADAC and OAC database; and
  • Carry out additional administrative duties to support the overall efficient and effective functioning of granting as well as other special projects for OAC - this could include minute taking and coordinating meetings, updating project reports, providing backup for other administrative staff, as well as updating documentation such as policies and forms.

Key Selection Criteria/Qualifications:

  • Undergraduate or post-graduate degree or diploma in arts management, finance, accounting and/or business project management, and/or an equivalent combination of education and practical experience analyzing financial data, working with budgets, metrics, and reading audits;
  • Arts background, arts administration experience and understanding of arts organizations’ budgets are preferred;
  • Excellent oral and written communication and presentation skills, with the ability to explain conceptual statistical and financial information in plain language.
  • Bilingualism in English and French is a requirement. With an advanced level proficiency in both verbal and written French and English;
  • Excellent administrative and organizational skills, backed by the ability to multi-   task with strong project management skills;
  • Demonstrated interpersonal skills, patience and tenacity, with the ability to work with a diverse set of individuals internally and externally and provide excellent customer service;
  • Ability to analyze processes in order to continuously improve workflow;
  • Advanced knowledge of databases, including use of PC applications and Microsoft Office Suite, in particular, advanced knowledge of Excel; experience with visual basic scripts and Microsoft Project or otherwise similar software an asset.
