Bilingual Receptionist

The Ontario Arts Council is a publicly funded agency of Ontario’s Ministry of Tourism, Culture and Sport.  OAC’s primary purpose is to award grants to professional artists and arts organizations.

Work week is Monday through Friday 8:45am – 5pm

Salary Range: $33 120 - $49 680

The Receptionist provides front-line and first point of contact services for the Ontario Arts Council (OAC) through a number of means, such as in-person, by phone, e-mail or mail.  The Receptionist also ensures that the business activities that are the responsibility of reception, as well as other administrative duties delegated from different business areas, are managed in an effective, efficient, timely and supportive manner.

Principal Responsibilities Are:

 

  • Create a welcoming environment and respond to general inquiries in a pleasant, professional and clear manner over the phone, by mail, e-mail and in person;
  • Manage a computerized switchboard, and update and record main telephone line information;
  • Provide administrative support mainly for data entry, assembling of information packages for distribution, arranging for printing and scanning of materials, opening and sorting of materials, and stuffing and sealing of envelopes;
  • Open and close public access to the office and ensure visitors are directed appropriately;
  • Coordinate courier services, sort and route mail, faxes and other materials delivered to reception;
  • Backfill Granting Support Assistant position on an as needed basis.

 

Key Selection Criteria/Qualifications:

 

  • Bilingualism in verbal and written French and English at the advanced level;
  • Direct experience as a receptionist or providing similar administrative support;
  • Intermediate computer skills in Outlook, intranet, Word and Excel;
  • Intermediate keyboarding and data entry experience with attention to detail, accuracy and efficiency;
  • Demonstrated above-average interpersonal and communication skills, with a focus on providing excellent customer service to a diverse range of people in a welcoming, pleasant, and helpful manner;
  • Above-average problem solving and conflict resolution skills;
  • Punctual and dependable;
  • Ability to work under pressure on a variety of tasks in a busy reception setting;
  • Requires occasional lifting a short distance, i.e., boxes of publications, etc., up to 20 lbs.
