PROGRAM ASSISTANT: Aboriginal, Community & Multidisciplinary Arts

The Ontario Arts Council is a publicly funded agency of Ontario’s Ministry of Tourism, Culture and Sport.  OAC’s primary purpose is to award grants to professional artists and arts organizations.

(One Year Contract)

SALARY RANGE: $37,760 - $56,640

LOCATION: TORONTO

 

The Ontario Arts Council (OAC) requires a Program Assistant to support 2 Program Officers and their relevant granting programs in the provision of key administrative and logistical support services to granting processes and projects, in addition to communicating detailed information to applicants on the grant requirements.

 

Principal Responsibilities Are:

  • Coordination of applications and support material, including the opening and data entry of grant applications
  • Responding to general inquiries about the program requirements by phone, e-mail or in person
  • Supporting the grant review panels by taking notes, managing the score-sheet and running the audio-visual equipment
  • Cheque requisitioning
  • Mass mailings and correspondence
  • Making logistical arrangements for meetings, such as room bookings, hotel, travel and meal arrangements
  • Sorting and filing

 

Key Selection Criteria/Qualifications:

  • Several years of experience in an administrative capacity combined with relevant training and/or education to further strengthen one’s ability to do the job
  • Intermediate to advanced proficiency with Word and Excel is essential
  • Technically adept in the use of a variety of audio-visual equipment
  • Above average reading, writing and verbal communications skills in English
  • Ability to communicate in a professional and consultative manner with a customer service focus
  • Results-oriented person with strong ability to work under pressure to meet tight deadlines in a fast-paced environment with multiple priorities
  • Highly organized, attentive to detail, multi-tasking individual with strong time management skills
  • Works well independently as well as collegially with others
  • Bilingualism in French at the advanced level is a major asset and preference will be given to individuals with this skill
  • Knowledge, understanding and experience with a broad range of artistic forms and not-for-profit arts management are definite assets, and preference will be given to individuals with this skill
  • Knowledge of Aboriginal communities in Ontario and ability to communicate in indigenous languages are assets
  • Experience working and providing support to individuals with different needs, capabilities and are from diverse communities
  • May need to work overtime periodically
